Upon receipt, samples are inspected and imaged during accessioning, and their processing is tracked in real-time in our laboratory information management system using their barcodes. This not only streamlines and accelerates the entire process of sample collection, processing, and storage, but it also allows you to rest assured that your samples are in safe hands throughout the entire process and allows us to provide a truly end-to-end service to our customers.
We partner with many of the biggest couriers, including UPS, DHL, FedEx, and Biocare, and have established protocols to ensure samples get to their destination on schedule, so you don’t need to worry about a thing.
Protection of sample integrity
Our highly qualified team understands that different biological samples have different requirements – in terms of temperature, shipping conditions, and sample fragility. In line with this, our kits not only hold the samples, but they also protect them from damage. For samples with specific temperature requirements, we can supply and ship freezers, dry ice, and liquid nitrogen tanks ensuring your sample arrives in perfect condition.

How Does Sampled’s Custom Clinical and Research Service Work?
Custom kit development
The first step in a custom clinical kitting order is the design of a kit. This involves one of our kitting experts facilitating the development of a kit to meet the needs of your specific samples and clinical or research requirements. The customer can then oversee every element of their kit and request any changes or specific components before the kit is assembled.
To ensure you are satisfied with your kit, we can send photos or provide a demo kit to test.
This process also involves a discussion of the timescales for the development and shipment of the kits, which can vary depending on the kit elements and the level of customization but can be as short as a 48-hour turnaround time following contract signing, where supplies are available in-house and ready to ship.
Client places order
Once a custom kit has been designed and approved by the client, the order is placed using our internal ordering system.
Kit assembly
The kit is then assembled in our kitting facilities. This involves the barcoding of every device, which allows for full traceability of samples and ease of processing once samples are returned.
Quality assurance
Before being sent out to clients, all our kits are subject to a rigorous quality assurance process. Research kits are audited by one of our kitting team members, while clinical kits are checked and given the seal of approval by our in-house quality assurance team. Kits are cmmonly supplied with barcoded tubes to ease processing and storage as per ISBER Best Practices.
Packaging and shipping
After the kits have been approved, they are packaged and shipped. We work with many of the biggest couriers, including UPS, DHL, FedEx and Biocare and have established protocols to ensure samples get to their destination promptly. Our logistics team deals with shipping, monitors delays, and resolves courier issues, so you don’t have to.
Sample collection
Once you receive your kit, it’s time to collect your samples. Simply follow the instructions on the one-page document included in your user-friendly kit for a seamless sample collection process.
Kits are returned
Once you have collected your samples, return your kits to us using our partner courier services. As with outbound shipping, our logistics team will arrange shipping for you and deal with any associated issues, so all you need to do is package your samples back into the box provided. We can supply freezers, dry ice, or liquid nitrogen tanks, ensuring sample integrity throughout transportation.
Samples are processed
When we receive your samples, we rapidly process them using the barcodes on the collection devices. They are then ready to be passed on to the relevant teams for bioprocessing or storage.
