Sample logistics describes the mechanisms through which samples are transported internally at Sampled, and externally between us and our clients.
The goal of sample logistics at Sampled is to ensure that the integrity of biospecimen is maintained through the logistics pipeline and that samples arrive without delay. Sample logistics is central to the smooth functioning of everything we do here at Sampled.
Our logistics workflow was designed to reflect the guidance and best practices set forth by the International Society for Biobanking and Environmental Repositories (ISBER) and regulatory agencies. We organize shipping and collection for our clients to ensure the safe and timely arrival of biospecimen. How Does Sample Logistics Work?
Biosample Collection/Kitting
Our sample logistics service begins at the point of collection. At Sampled, we offer solutions to support efficient sample collection. Our collection kits provide clients with everything they need to ship their samples securely. Our kits are fully customizable and our quality control team tests every kit before it is sent to our clients. Concerned about how to properly pack a sample for shipping? Don’t worry: Sampled’s custom kitting service ensures your samples are always shipped under the appropriate conditions.
LIMS Registration
Next the samples are registered in Sampled’s laboratory information management system (LIMS) using the sample manifest provided by the client. If the manifest is late or there is some other issue, the sample accessioning team at Sampled will manually generate a manifest to ensure your samples are processed as efficiently as possible. Data quality control is then performed to ensure that the barcodes, service, and client information all match. Registration and validation typically occur on the same day as receipt. Clients can access their sample data through our fully customizable client-facing portal, SampledSphere. After registration, the sample can be sent directly to our analysis pipeline or for storage.
Storage
Here at Sampled we have vast storage facilities and robust monitoring systems which ensure your sample is safely stored. We always ensure that your samples are stored at the correct temperature. We offer long-term and short-term storage in the following conditions:
- -80°C
- -20°C
- 4°C
- Ambient temperatures
- Liquid and vapor phase nitrogen
Everything we receive is stored in the conditions requested by the client. We have over 600 mechanical -80°C freezers, with a capacity for over 1000 freezers, making us one of the largest biospecimen storage facilities in the US.
Security
At Sampled, we maintain mandatory chain-of-custody documentation which lets you know who has handled your sample and why. Our entire biorepository can be run off one generator and we have four backup generators just in case. Each freezer has an independent temperature monitor so if something goes wrong our team knows exactly where to look.
Our liquid nitrogen tanks are all maintained by an autofill system and only staff with appropriate access can gain access to the storage space and individual freezers. Your sample’s data is similarly secure. We are Title 21 CFR part 11 and HIPAA compliant and our client-facing data access portal SampledSphere is enabled with single sign-on and multifactor authentication.
Outward Shipment
When our clients request a sample to be sent back to them, our logistics team organizes packaging and shipping to ensure that clients receive samples quickly and in perfect condition.
